Setting Up Your Personal Voicemail

This guide explains how to upload and assign a voicemail greeting to your personal extension.

Prerequisites

  • You must have a voicemail greeting recorded and saved to your computer as an audio file (e.g., MP3) in advance before starting this process.

Instructions

  1. Open Phone Settings Navigate to the Phone Settings section within the interface.

  2. Select Voicemail File Locate the Voicemail field and click the upload/folder button. This will open your computer's file explorer.

  3. Upload Audio Select the pre-recorded voicemail audio file you wish to use and click Open. The system will begin uploading the file.

  4. Verify and Save

    • Review: Once uploaded, click the Play button next to the voicemail field to listen to the playback and ensure it is the correct file.
    • Confirm: Click the Save button at the bottom of the settings panel. You will see a confirmation message (e.g., "Settings Saved") indicating the voicemail is now active for your personal extension.

Updating or Removing a Voicemail

If you need to change or delete your current greeting:

  1. Click the Clear button (marked with an X) next to the voicemail file name.
  2. Upload a new file using the steps above.
  3. Click Save to confirm the changes.

Note: This process applies to your personal extension only. To update the main Company Voicemail, please refer to the specific documentation for company-wide settings.

Setting Up Company Voicemail (Fallback)

This guide explains how to update the main voicemail for your organization. This serves as the fallback voicemail for the entire organization if no other specific voicemail is set.

Instructions

  1. Access the Organization Object

    • If the left-hand menu column is not visible, use the column selector to open it.
    • In the "Objects" search bar, look up Organization and select it.
  2. Select Your Organization

    • Locate your organization in the list (you will likely be the only entry) and click into it.
    • Navigate to the Custom Organization Page to view your specific configuration details.
  3. Enter Edit Mode

    • Click the Edit button to modify the settings.
    • Optional: At this stage, you can also update your company hours if they need to be changed.
  4. Upload Voicemail File

    • Scroll down to the very bottom of the page to find the Voicemail section.
    • If a file already exists, you can click the Clear button to remove it.
    • Click the voicemail button to open your file browser, select your recorded audio file, and upload it.
  5. Save Changes

    • Once the file is uploaded, scroll back up to the top of the page.
    • Click the Save button to confirm your changes.

Usage Note

This setting ensures that if there is no specific voicemail assigned elsewhere in the system, this recording will play as the default fallback voicemail for the entire organization.
