Basics of Valstorm
Welcome to Valstorm! Valstorm offers a lot of functionality so we'll introduce core concepts that every user should learn.
New User First Time Setup
Configure your personal profile settings in ValStorm, including availability hours, calling preferences, extensions, signatures, and voicemail.
For the Video Guide, skip past the Written Overview
Step 1: Navigate to Your Profile
- In the top-right corner of the ValStorm dashboard, click on your Profile Icon.
- From the dropdown menu, select Profile to open your account settings page.
Step 2: Set Your Availability
Availability controls when you receive real-time notifications on your mobile phone for calls, texts, and system events. Outside of these hours, notifications are saved in the system but won't disturb you.
- Scroll down to the Availability section.
- Adjust your working hours for each day of the week (e.g., 8:00 AM to 6:00 PM).
- Copy to all days: Use the "Copy to all days" button to quickly apply the same schedule across the entire week.
- Delete days: Click the trash icon/delete button on days you are not available (e.g., Sundays) to remove them from your schedule.
- Note: When outside your available hours, incoming calls go straight to your voicemail.
Step 3: Choose Time Zone and Vacation Days
- Select your active Time Zone from the dropdown menu to ensure your availability hours align with your local time.
- In the Vacation Days section, log any upcoming vacation or out-of-office dates so the system respects those days as unavailable.
- Click Save in the availability section to apply your changes.
Step 4: Configure Call Settings (Phone & Extensions)
Scroll down to the Profile Settings section at the bottom of the page:
- Main Calling Line: Select your default outbound phone number. While you can still receive incoming calls on other lines, this is the main number clients will see when you call out.
- User Extension: Enter your unique company extension (e.g.,
1, 2, or 3). Extensions are owned exclusively by one user—the system will alert you if the extension is already taken.
Step 5: Add Text and Email Signatures
- Text Message Signature: Add a short text signature. If multiple team members share the same phone number to text clients, this automatically appends your signature to your texts so clients know who is replying.
- Email Signature: Copy and paste your rich-text email signature from your email provider (e.g., Gmail or Outlook) to automatically append it to all email replies sent from the system.
Step 6: Configure Do Not Disturb & Call Preferences
- Do Not Disturb (DND): Check this box if you want to temporarily block all calls, texts, and notifications.
- Important: DND does not turn off automatically; you must manually uncheck and save to resume receiving notifications.
- Receiving Web App Calls: Toggle this setting on if you want to answer phone calls directly in your browser.
- Receiving Mobile App Calls: If you have the mobile app installed, toggle this on or off depending on which device you prefer to handle calls.
Step 7: Set Up Your Voicemail
You can configure a personal voicemail greeting specific to your extension (separate from the company-wide voicemail):
- Record your voicemail greeting and save it as an MP3 file.
- Under the Voicemail section, click the upload box, select your MP3 file, and upload it.
Step 8: Save Your Settings
- Scroll to the very bottom of the page.
- Click Save Settings to ensure all profile and calling configurations take effect.
