Tag Management

Tags are a critical way to filter and categorize data in Valstorm. Learn what tags are how they are used in Valstorm and how to manage them in this guide.

The Tag Creator is your primary tool for managing dropdown options (picklists), status bars, and Kanban columns across your applications.

What is a Tag?

A Tag is a reusable value that defines an option in a list. Tags allow you to:

  1. Standardize Data: Ensure users pick from a set list instead of typing manual text.
  2. Color Code: Assign visual meaning to see how things are running at a glance.
  3. Order Steps: Determine the sequence of steps in a progress pipeline or Kanban board.

To create a tag, you can either navigate to the main Tags menu or click directly into a specific field on an object.

Step 1: Choose Your Scope

  • Object Specific: Use this for tags that belong to one specific field on one object (e.g., creating a "Long Term Nurture" status strictly for the "Lead" object).
  • Global Tag: Use this for reusable tags that might appear in multiple different fields across the system (e.g., a shared "Customer Status" list).

Step 2: Tag Details

  1. Tag Value: This is the actual text that will be saved in the list.
  2. Order: Enter a number (0, 1, 2...) to determine where this tag appears. Lower numbers appear first in your pipeline or list.
  3. Color: Select a color for the tag from the basic options, or use the color palette to refine it.
  4. Active Status: Toggle this off (Inactive) to hide the tag and make it unavailable for new entries, without deleting it entirely.

Advanced Features

Tag Order Preview

As you adjust the Order number, you will see a live visual preview of where your new tag is going to sit within the pipeline or Kanban board.

Conditional Dependencies

You can make a tag appear only when a parent field has a specific value selected.

  • Example: You want the status reason "Called" to only appear as an option if the main Status field is set to "Attempted Contact".
  • How-to:
    1. Check the box indicating this is a dependency.
    2. Set the dependent field to "Status".
    3. Select "Attempted Contact" as the condition.

Tips for Success

  • On-the-Fly Creation: If a field uses a Global List, you don't even need to open the tag editor! Just type your new value into the field and press Enter to create it instantly.
  • Pre-filling: If you start the creation process by clicking the field directly from a record (like a Lead), the system will automatically pre-populate the correct Object and Field API name for you in the editor.
  • Searching & Editing: Need to fix a tag or change its dependencies later? Head to the main Tags menu and use the search bar to find the tag by name (e.g., "Long term nurture") to easily edit or deactivate it.
